Managing members
Invite colleagues, assign roles, and manage departures. Removal authority depends on plan (owner-only on a paid plan; owner or admin on a trial).
Owners and admins manage who belongs to the organisation. That covers inviting new colleagues and setting their role. Removing a member is also handled here, though the authority depends on your plan, see the section below. Members do not see this; it is a role-gated part of Cadence.
Inviting people
Adding colleagues is done via a shareable join link. In the members area inside the desktop app, generate a join link and share it with your colleagues. They open the link in their browser and sign up there using an email address that matches your organisation’s domain: they join your organisation rather than creating a new one. The link is domain-restricted and capped at your seat limit. The full walkthrough is in invite your team.
Assigning roles
Each person gets a role when you invite them, and you can change it later. Pick the smallest role that fits the job: member for everyone who only tracks their own work, admin for people who help run the team, owner only for those who should also control billing.
- Open membersAs an owner or admin, open the members area to see everyone in the organisation and their current role.
- Change a roleSet the person to member, admin, or owner. Remember you cannot raise your own role, and a fresh role only takes effect once they restart the app. See roles and permissions.
- ConfirmSave the change. Let the person know to restart Cadence so the new role applies.
Removing someone
When a colleague leaves, remove them from the members area. Removing a person does not erase the work they already tracked: their existing time entries stay with the organisation so your records remain intact. You are removing a person’s access, not rewriting history.
On a paid plan, removing a member is owner-only. The removal is scheduled and takes effect at the end of the current billing period: the seat runs to the end of the period already paid for, then the person loses access and the seat is freed. On a free trial, owners and admins can remove members immediately.
